AI sales agent case study shows sales teams how many new customers a year would pay for the agent at their own lead volume, set against research in which firms that reached out within an hour were nearly seven times as likely to qualify a lead.
AI sales agent prices and the best-known studies on lead response time now appear side by side in a free PDF case study from Best AI Answering Services. The case study lets a sales leader judge an AI sales agent, also called an AI SDR, on the company’s own numbers, and it is written for software companies and B2B service businesses.
New York City, October 7, 2026 — Best AI Answering Services today published a free AI sales agent case study for companies that follow up web leads, demo requests and free-trial sign-ups. A sales leader answers a few short questions and receives, by email, the cost of an AI sales agent at the company’s lead volume, the number of new customers a year that would cover it and the calling rules for the company’s market.
The prices in the case study come from Outcraft AI, whose AI agent phones each new lead, follows up by text, email or WhatsApp, asks the qualifying questions, books the meeting and works with CRMs such as Salesforce, HubSpot and Pipedrive. Outcraft reports a median first response under 30 seconds and bills by the number of leads it works each month: $300 for up to 100 leads and $2,000 for 751 to 1,000, on monthly terms with no setup fee.
AI Sales Agents and Speed to Lead: What the Research Shows

The case for an AI sales agent rests on speed to lead. When Harvard Business Review researchers submitted a web lead to 2,241 US companies for a March 2011 audit, only 37% answered within an hour and 23% never answered; the companies that did reply within 30 days took 42 hours on average. Across a second set of 1.25 million leads, firms that tried to make contact within an hour were nearly seven times as likely to qualify the lead as firms that waited even an hour longer. The research was conducted independently and is not affiliated with Best AI Answering Services.
The five-minute rule that many sales teams follow traces back to the 2007 Lead Response Management study by InsideSales and researcher James Oldroyd. Across about 15,000 leads at six companies, a first call placed at 30 minutes instead of five made a lead 100 times less likely to be reached. In a 2024 test, RevenueHero filled in demo request forms at 1,000 B2B software companies, and 63.5% never replied. The research was conducted independently and is not affiliated with Best AI Answering Services.
What an AI Sales Agent Does With a New Lead
An AI sales agent places the first call while the request is still fresh, within minutes and at any hour the company allows. It asks the questions a human SDR would ask about need, timing, budget and role, books qualified leads into a sales rep’s calendar, tries again by text or email when nobody answers, and passes leads who ask for a person to the team with notes from the call.
Inside the AI Sales Agent Case Study
The form takes about two minutes. It asks whether the company sells software with trials or demos, or services to other businesses, how many new leads arrive in a month, what a new customer is worth in the first year, how quickly a new lead hears back today and who makes that contact, which CRM the team uses, where most customers are and whether the company’s forms already ask permission to call and text.
The PDF then sets the cost of the agent at that lead volume against the first-year value of a customer, shows how many new customers a year would cover it and compares the company’s current reply time with the published research. Each figure comes with the assumption behind it, the verdict is one of three (strong fit, worth testing or not yet), and the setup checklist matches the company’s market. A company with fewer than 20 new leads a month is pointed to an alternative that costs nothing: a rule that someone calls every new lead within five minutes.
AI Sales Agent Cost Compared With New Customer Value
Take a B2B service business with 100 to 750 new leads a month, customers worth $1,000 to $5,000 in their first year, replies that go out the next day and no one in particular in charge of follow-up. The case study models it at 400 leads a month and $3,000 per customer. At Outcraft’s published rates, 400 leads cost up to $1,200 a month, or up to $14,400 a year, so 4.8 new customers a year pay for the agent, and the verdict is a strong fit. The PDF also notes that PayScale puts the average base pay of a US sales development representative at $51,677 a year (May 2026).
“The research has said for almost two decades that the first minutes after a form is filled in matter most, and most companies still take longer than an hour to reply,” said Claudiu A, Managing Director of Best AI Answering Services. “The case study puts a price on closing that gap for one company at a time, with its own lead volume and its own customer value, and it tells a small team when a five-minute rule will do the job instead.”
AI Sales Agent Results Reported by Software Companies
Outcraft’s customer stories include two software companies that use its AI agent on new leads.
Warmy, which makes email deliverability software, has every new free-trial user called about five minutes after sign-up. The agent answers first questions, books a demo during the call through HubSpot and switches to email and text when the call goes unanswered. According to Outcraft, Warmy’s weekly demos rose to about 18 to 22, from 3 to 5 before, and the share of trial users booking a demo grew about 15%.
Omnisend, an email and SMS marketing platform for online stores, uses the agent on product-qualified leads, demo no-shows and dormant leads. Outcraft reports more than 30 booked meetings a month and a 25% recovery rate on demo no-shows, and quotes Marty Bauer, Omnisend’s Director of Sales and Partnerships, describing the agent as “a force multiplier for our go-to-market team.”
The figures are Outcraft’s, as published in its customer stories. The case study’s verdict rests on each company’s own numbers, not on these results.
Calling Leads With an AI Voice: The Consent Rules
A February 2024 ruling (FCC 24-17) brought AI-generated voices under the federal robocall law, the TCPA, and FCC rules require a lead’s prior express written consent before a telemarketing call made with such a voice (47 CFR 64.1200). TCPA attorneys note that business-to-business marketing calls are not exempt. European leads are covered by Article 13 of the ePrivacy Directive, which requires consent before automated marketing calls. For that reason, the setup checklist in every case study opens with the consent line to add to demo and contact forms.
“We would rather a company add one line to its demo form before the first AI call than have to go back and ask later,” said Claudiu.
